JOB SUMMARY UNDER THE GENERAL AUTHORITY OF THE DIRECTOR OF CONTINUING EDUCATION AND THE DIRECT SUPERVISION OF THE OPERATIONS MANAGER CONTINUING EDUCATION - TO PERFORM VARIOUS ADMINISTRATIVE AND TECHNICAL TASKS PARTICULARLY IN COLLABORATION WITH MANY PERSONS IN A FAST PACED AND HIGHLY INTERCULTURAL OFFICE ENVIRONMENT.

DUTIES AND RESPONSIBILITIES

  • Provide administrative support to the Coordinators of the Continuing Education Nursing Programs in the planning and administration of Continuing Education Nursing programs: - Coordinate, plan and administer, in collaboration with the Program coordinators and various College departments, all technical and administrative procedures related to the promotion, information sessions, admission document follow-up, language testing, faculty hiring and contracts, orientation, stage placements, graduation, and day to day management of Continuing Education Nursing programs. - Develop and maintain the multiple student master lists for all Nursing programs - Follow up on all student documents e.g. student health records, student profile, OIIQ registration, HSP net forms, confidentiality and waiver forms - Prepare clinical packages - Update and maintain program, course, student information and profiles on HSP.net stage placement system

  • Continuing Education

In collaboration with the Continuing Education team and various College departments: - Plan, coordinate and organize information sessions, language testing, admission package, orientation sessions and graduation for Continuing Education programs. - Liaise with different internal and external agencies in either French or English. - Prepare requests for all credit and non-credit course contracts (Continuing Education), liaise with Human Resources

  • Research, analyze and compile data for reports and statistics required by chairs, coordinators and department (summary of academic failures, course evaluations etc)
  • Liaise with Registrar's office, Human Resources, Financial Services, Academic Advising, ITS and Security and other college services as needed
  • Respond to, refer, and/or resolve program and general inquiries from internal or external sources
  • Prepare and maintain program specific Databases using EXCEL, CLARA.
  • Archive student records and various program specific documents throughout the course of the year.
  • Provide administrative assistance to Continuing Education Marketing and Business Training Services
  • Perform other related tasks as may be assigned

EDUCATION: Diploma of college studies (DEC) in administration with an appropriate specialty or, in the office automation field, or a diploma or an attestation of studies that is recognized as equivalent by the competent authority.

SPECIFIC REQUIREMENTS

  • Strong organizational and planning skills
  • Ability to multitask in a highly demanding environment
  • Logic and analytical skills required
  • Comprehensive knowledge of Clara, Omnivox, LEA preferred
  • Knowledge of CEGEP system, an asset
  • Must have excellent intercultural and interpersonal skills
  • Manage multiple stressors simultaneously
  • Initiative as well as ability to work independently and effectively under pressure
  • Ability to work well as a member of a team
  • Work professionally and efficiently with a diverse population, both local and international students, visitors and partners
  • High level of confidentiality required
  • Excellent knowledge of computers and software: Microsoft Word, Excel etc.
  • Knowledge to edit webpages using the WordPress platform preferred

  • English and French, oral and written required *** Availability to work occasionally in the evenings and weekends for testing, orientation sessions, administrative support, as required.

  • Schedule: 5 days per week 8h30-16h30; evening work may be required occasionally, pending administrative requirements.**
